2. We are committed subject to the terms of this policy to protecting the privacy of our clients and candidates. Information submitted to us is only used for the purposes explained in this policy.
3. The following definitions are relevant to interpreting this policy:

5. "Client” means an employer who has asked us to advise them or support them concerning filling a vacancy within the employer’s organisation.
6. Our "website" includes services associated with our website such as LinkedIn, Facebook and Twitter.

8. We collect and store candidate personal details including name, contact details (such as e-mail) and information taken from your CV or other communications you have sent to us.
9. If by exception our client has:
10. A legitimate reason for requiring a Criminal Records Bureau check (or other security clearance) as a condition of employment, then you will be advised of this. If our client instructs us to organise such a check, then it will only be undertaken following your express approval but the results will be known by and stored by us.
11. A policy of monitoring ethnicity of applicants, and requests us to provide such monitoring as part of our service to the client, then you will be sent a separate monitoring document. Completion is entirely voluntary but encouraged as it is indicative of our client adopting best practice. Information concerning ethnicity is not provided to our client on an individual basis - it is separated from other applicant data. Our client is given anonymous aggregate data concerning all applicants.
12. There is a requirement on all employers to establish that a potential employee has the right to work in the UK. This will normally require inspection of an candidate’s passport and retention of copies of relevant pages. Where as part of our service we meet with candidates prior to considering whether they should be referred to our client, we will undertake this check & retain a digital image of the passport pages.
13. Our website enables candidates to submit a CV and covering message whether for general applications, a specific advertised vacancy or to register for our job alerts. This information is then held in a secure database. It enables us to:

15. Provide clients with information about candidates excepting that:
16. Candidate information with personal data such as name, address or any other contact details is not given to a client without express permission from a candidate.
17. Personal information concerning candidates will not be transferred outside the European Economic Area.
18. Personal information concerning candidates will not be given to or shared with any third party other than provided for within this policy.
19. We may disclose personal information to trusted third parties where we require them to provide services requested and approved by either a candidates or a client. We require such third parties to have undertakings concerning privacy equivalent to our own. Non-exhaustive examples of such services include security clearance, reference checking and tests/assessments required as part of the selection process. Excepting that:
20. A candidate will be notified of such processes and given the opportunity to refuse disclosure.

22. We may change this privacy policy at any time by making a prominent announcement on our website, and continued use of our services and/or website will be taken as agreement to these changes.

23. If you register for our job alerts, you will need to provide us with either an e-mail address or a mobile number for texts. You may unsubscribe from such services at any time by notifying us by e-mail or text message.
24. You may update your CV at any time using our website. We will archive earlier version/s.
25. Cookies. Our website uses cookies to remember your login and record current job search sessions. We also track the origin of applications for instance search engine, pay per click services or Internet job boards. You can disable cookies in your web browser but this will limit your ability to use our website.
26. You may at any time ask for copies of the information we hold about you. We reserve the right to refuse such a request where legally entitled, and/or make a reasonable charge for providing the information.
27. You may at any time ask us to permanently delete all information we hold about you. We will do our best to comply, but if there are regulatory reasons why we cannot we will explain.
28. If you navigate from our website using links to other sites or services, this privacy policy will not apply to those sites and you are specifically advised to check the relevant privacy policy.
29. Please understand that personal data transmitted over the Internet will inevitably mean that data is transferred internationally, and in using our website you agree that your personal data can be processed in this way.
